1. Acceptance of Terms

By accessing or using Chair (the “Service”), you agree to be bound by these Terms and Conditions (the “Terms”). If you are accepting on behalf of a business, you represent that you have authority to bind that business to these Terms. If you do not agree, do not access or use the Service.

2. Description of the Service

Chair is a business-to-business (B2B) software-as-a-service (SaaS) platform designed for salons, barbershops, and similar personal-care business operators (“Operators”). In its current build, Chair supports operational workflows such as:

  • Appointment management: creation, scheduling, updates, completion, and cancellation
  • Point-of-sale and checkout recordkeeping: including payment-method recording (cash, UPI, or card)
  • Client CRM: client records, contact details, visit history, and spend statistics
  • Service catalog: pricing, duration, station types, and professional assignment management
  • Packages and memberships: multi-session packages, membership tiers, discounts, freebies, and redemption tracking
  • Reports and analytics: aggregated revenue, visit, and professional performance statistics
  • Shop configuration: operating hours, holiday overrides, account setup, and team access control
  • Shop logo upload and storage

2.1 Features Not Live in the Current Build

The current build does not include any live:

  • WhatsApp Business API or Meta messaging integration
  • AI or large language model features
  • In-app payment processor or payment gateway
  • General public consumer booking workflow
  • Tax or GST calculation, filing, or compliance tooling for operators

Chair may store metadata about appointment origin (for example barber_app, whatsapp, website, or aggregator) where the operator records that information. The codebase also contains helper logic for phone normalisation and manual WhatsApp-style message or link composition. In the current build, those helpers do not create a live Meta / WhatsApp Business API integration and do not send messages automatically on anyone's behalf.

3. Eligibility

You confirm that:

  • You are at least 18 years old
  • You are using Chair for legitimate business purposes
  • You are the business owner or an authorised representative of the business
  • You will comply with applicable laws, including consumer protection, tax, employment, and data-protection laws relevant to your operations

Chair is designed primarily for business operators. It is not intended for personal, household, or consumer use. The platform is primarily designed for businesses operating in India but is not exclusive to India.

4. Accounts, Authentication, and Access

4.1 Authentication

Chair uses passwordless email sign-in exclusively. Access is initiated through a secure email magic link sent to the email address associated with the account. In the current implementation, each magic link expires after 60 minutes. The sign-in flow uses a server-side PKCE code exchange for security.

You are responsible for maintaining control of the email account you use to access Chair.

4.2 User Roles

Professionals (barbers, stylists, etc.) listed in the platform are performance-tracking and assignment records only: they are not system login accounts unless also registered as team members.

4.3 Session Management

Each profile has a configurable maximum number of concurrent sessions (default: 1). When that limit is exceeded, the oldest session is automatically revoked. You should log out from shared or public devices.

4.4 Account Information

You agree to provide accurate and complete information during account setup and ongoing use, including your name, shop details, phone number, country, timezone, and any team-member or invite information entered into Chair. You are responsible for keeping this information current.

5. Plans, Pricing, and Billing

Trial is functionally equivalent to Pro with a 30-day time limit. Specific plan limits (such as appointment caps, included features, and team-member allowances) are subject to change as the product evolves.

5.2 Current Billing State

Chair does not currently contain an automated in-product payment processor or full self-serve billing workflow. Payment collection, renewals, upgrades, and any related commercial operations are currently handled outside the in-app product flow, coordinated through Artifact support or as otherwise communicated.

5.3 Enforcement Status in the Current Build

Some commercial rules exist in the product design and database model before every runtime gate has been fully automated in the backend. For example, trial-expiry blocking and shop-count enforcement are still being phased into hard server-side enforcement.

The absence of an automated block in the current build does not waive the commercial limits of your plan, unless Artifact expressly waives a restriction in writing.

5.4 Changes to Plans or Pricing

Artifact reserves the right to modify plan features, limits, and pricing with reasonable notice. If you do not agree to updated plan terms, you may terminate your account before the changes take effect.

5.5 Refunds

Unless required by applicable law or otherwise agreed in writing, subscription fees are non-refundable once charged. Contact Artifact support for billing disputes.

6. Operator Responsibilities

As an Operator, you are responsible for:

  • Your Clients' Data: You are responsible for the personal information of your own clients entered into Chair. You must have a lawful basis to collect and store your clients' information, and must provide your clients with appropriate privacy notices as required by applicable law.
  • Accurate Records: Ensuring that the business data you enter into Chair is accurate.
  • Team Access: Managing your team members responsibly. You are liable for actions taken by admin and staff members under your business account.
  • Compliance: Complying with all applicable local, state, and national laws.
  • Account Security: Protecting your email account and any devices used to access Chair.
  • Commercial Commitments: Honouring packages, memberships, offers, and payment records that you configure for your own clients.

7. Acceptable Use

You must not:

  • Use the Service for any unlawful, fraudulent, abusive, or misleading purpose
  • Enter false, malicious, or fabricated client, appointment, or transaction data
  • Attempt to access data belonging to another shop or tenant
  • Interfere with platform security, authentication, or session controls
  • Introduce malware, harmful code, or abusive automated traffic
  • Use automated scripts or bots to access the Service without prior written authorisation
  • Reverse-engineer, decompile, or attempt to extract protected source code or trade secrets, except where applicable law expressly permits it
  • Resell or sublicense the Service without prior written permission
  • Use Chair to store information that you have no right to collect or process

Artifact may suspend access where use creates security, legal, or operational risk.

8. Operational Features and Product-Specific Terms

8.1 Appointment Lifecycle

In the current implementation, appointments move through a defined lifecycle:

Appointments are also classified by type: scheduled (future booking) or walk_in (arrival-based), which is automatically derived from timestamps.

8.2 Checkout and Cancellation Snapshots

When an appointment is completed or cancelled, Chair stores an immutable snapshot so historical checkout or cancellation records remain frozen as they were at that time. These snapshots cannot be modified after creation.

8.3 Payment Recording Only

Chair can record whether an appointment was paid and which payment method was used: cash, UPI, or card. Chair does not itself move funds, settle payments, or operate as a payment gateway in the current build. Actual payment collection occurs offline or via the operator's own payment terminal.

8.4 Appointment Source Metadata

Chair may store appointment-channel metadata such as barber_app, whatsapp, website, or aggregator. In the current build, these values are recordkeeping fields only and do not indicate a live integration with any external service.

8.5 Packages and Memberships

Chair can track package purchases, session balances, membership tiers, discounts, freebie eligibility, and redemption history. Operators are responsible for the commercial terms they offer to their clients through these features.

8.6 Shop Logos and Media

The currently supported upload flow is for shop logos only. Accepted formats are JPEG, PNG, and WebP. New logo uploads are stored in Cloudflare R2 object storage (automatic placement; currently Asia Pacific). Some legacy logo records may still be served from earlier database-backed storage until replaced.

8.7 Messaging Helpers

The codebase includes helper logic for phone normalisation (India-first, E.164 format) and manual WhatsApp-style link composition. In the current build, those helpers do not send messages automatically and do not create a live WhatsApp or Meta integration.

9. Team Management

In the current implementation:

  • Trial accounts receive full Pro-level team functionality (Owner + 2 team accounts) for the duration of the trial
  • Lite accounts include team management (Owner + 2 team accounts)
  • Pro accounts include team management (Owner + 2 team accounts per shop)
  • Enterprise accounts include team management (Owner + 2 team accounts per shop)
  • The Owner controls invitations, role changes, deactivation, and reactivation
  • Team invitations are handled through email-based onboarding flows
  • Deactivated team members lose access immediately and all their active sessions are revoked

You are responsible for all activity performed through accounts under your business.

10. Privacy and Data Handling

Your use of Chair is also governed by the Privacy Policy, which is incorporated into these Terms by reference. Together, these Terms and the Privacy Policy constitute the data processing arrangement between you and Artifact for the purposes of the Service.

11. Shop Deletion, Account State, and Termination

11.1 Shop Deletion by the Owner

The current destructive flow available in the app is a shop deletion flow. The Owner must confirm the shop name to proceed.

When an Owner deletes a shop, the current implementation executes an atomic database transaction that deletes the shop and all dependent operational data (appointments, client records, checkout and cancellation snapshots, service catalog, packages, memberships, analytics, and related business records), hard-deletes staff and admin profiles, logs a subscription event, and creates a fresh re-onboarding record so the Owner can set up a new shop later.

Shop logo cleanup in Cloudflare R2 object storage is best-effort and runs outside the database transaction.

Deletion is permanent and irreversible. The current build does not provide a general self-serve data export tool before deletion.

11.2 Shop Deletion Is Not Full Identity Erasure

Deleting a shop is not the same as deleting every operator identity record. The Owner's login identity and some account-level records survive shop deletion, including the Owner's profile, owner account and subscription history records, subscription event logs, and a re-onboarding preauthorisation row.

11.3 Suspension or Termination by Artifact

Artifact may suspend or terminate access if:

  • You materially breach these Terms and fail to remedy the breach within 7 days of written notice
  • Continued access creates a security risk to the Service or other users
  • Artifact is required to do so by law or a government authority
  • Fraudulent, illegal, or abusive use is detected

Termination does not erase payment obligations or liabilities that arose before termination.

12. Intellectual Property

Chair, including its software, interface, design, documentation, trademarks, branding, and underlying technology, is owned by Artifact or its licensors and is protected by applicable intellectual-property law.

These Terms grant you a limited, non-exclusive, non-transferable licence to access and use the Service during your active subscription period, solely for your internal business operations. No ownership of the platform or its components is transferred to you.

You retain ownership of the business data you submit. By using the Service, you grant Artifact a limited licence to store, process, secure, back up, and transmit that data solely for the purpose of providing the Service to you.

13. Availability and Service Levels

Artifact will make reasonable efforts to maintain Service availability. However, the Service is provided on an “as available” basis. We do not guarantee uninterrupted or error-free access. Scheduled or emergency maintenance, third-party infrastructure failures, force majeure events, or security incidents may cause temporary unavailability.

14. Disclaimers and Limitation of Liability

14.1 No Warranty

To the maximum extent permitted by applicable law, the Service is provided “as is” and “as available” without warranties of any kind, whether express, implied, or statutory, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.

14.2 Limitation of Liability

To the maximum extent permitted by applicable law, Artifact's total liability to you for any claims arising from or related to the Service shall not exceed the total fees paid by you to Artifact in the three (3) months preceding the event giving rise to the claim. Artifact shall not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, including loss of profits, loss of data, or business interruption.

Nothing in these Terms limits liability where such limitation is prohibited by applicable law.

15. Indemnification

You agree to indemnify, defend, and hold harmless Artifact, its directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising from:

  • Your misuse of the Service
  • Your violation of these Terms or any applicable law
  • Your mishandling of your own clients' personal data
  • Disputes between you and your clients or team members arising from your use of Chair

16. Governing Law and Dispute Resolution

These Terms are governed by the laws of India, including:

  • The Digital Personal Data Protection Act, 2023 (DPDP Act)
  • The Information Technology Act, 2000 and the IT (Amendment) Act, 2008
  • The Information Technology (Reasonable Security Practices and Sensitive Personal Data or Information) Rules, 2011

Before formal proceedings, the parties should first attempt to resolve the issue through good-faith discussion.

17. Changes to These Terms

Artifact may update these Terms from time to time. When material changes are made, we will update the “Last Updated” date and notify you via your registered email address or via an in-app notice.

Your continued use of the Service after the effective date constitutes acceptance. If you do not agree, you may terminate your account before the effective date.

18. Severability

If any provision of these Terms is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary, and the remaining provisions shall remain in full force and effect.

19. Entire Agreement

These Terms, together with the Privacy Policy, constitute the entire agreement between you and Artifact regarding the Service and supersede all prior agreements, representations, and understandings, except where a separate written commercial agreement expressly applies.
